Guest Policies & Terms of Stay

We’re committed to providing a safe and comfortable stay for every guest. Please review these Terms of Stay and Property Policies, along with any reservation-specific terms provided at the time of booking.

Check-In & Check-Out

  • Check-In Time: 3:00 PM
  • Check-Out Time: 11:00 AM
  • Late Arrival: Guests arriving after 11:00 PM MT should contact the hotel in advance for late-arrival instructions.
  • Early Check-In: Early check-in is subject to availability and front desk approval.
  • Late Check-Out: Late check-out is subject to availability and front desk approval. Unapproved departures after 11:30 AM may incur a $50 late check-out fee. Extended occupancy that interferes with housekeeping or room availability may instead result in a charge of up to one additional night’s room and applicable taxes.
  • Incidental Authorization: At check-in, GSCL may place a $100 authorization on a valid credit or debit card for incidental charges. A $100 incidental authorization may also be required for prepaid and third-party reservations. This temporary hold may reduce your available credit or funds and is not an additional room charge.
  • Additional Authorizations: GSCL may obtain additional authorizations when amounts owed directly to GSCL exceed the amount currently authorized.
  • Release of Hold: Any unused authorization will be released after checkout. After GSCL releases the authorization, the time required for funds or available credit to become available again is determined by your card issuer or financial institution.
  • Check-In Requirements: A valid government-issued photo ID and a credit or debit card are required at check-in.
  • Payment Requirement: Any balance due to GSCL must be paid by check-in, unless an approved payment arrangement is in place.
  • Early Departure: Guests who depart before their confirmed departure date may be charged one additional night’s room and applicable taxes, unless otherwise stated in their booking terms.

Booking & Payment

  • Reservation Guarantee: To confirm and hold your reservation, a valid payment method or other approved payment arrangement is required. For standard reservations made directly with GSCL, your card is used to guarantee the room and is not charged at the time of booking unless otherwise disclosed.
  • Payment for Stay: Payment is handled according to your booking arrangement. Amounts due to GSCL may be paid before arrival when an advance payment option is offered, or at the hotel. Unless otherwise stated in your booking terms, any remaining balance must be paid by check-in.
  • Third-Party Reservations: Reservations made through a third-party booking provider are subject to the guarantee and payment terms provided with that reservation. Amounts collected directly by the booking provider are handled according to that provider’s terms.
  • Accepted Payment Methods: GSCL accepts major credit and debit cards, including Visa, MasterCard, American Express, and Discover.

Payment Authorization & Card on File

  • Authorization & Card on File: By providing a payment method to GSCL, including through a secure online payment request, you authorize GSCL to process the amount presented and, when disclosed during the payment process, to retain the payment method on file for the associated reservation.
  • Permitted Charges: An authorized payment method on file may be used for charges or authorizations permitted under the applicable reservation terms or property policies. These may include deposits or scheduled payments, remaining room charges and applicable taxes, cancellation or no-show charges, incidental charges or authorizations, and properly documented charges for damage, missing property, excessive cleaning, or other amounts properly due in connection with the stay. Charges may be processed when they become due, including during or after the stay. If an amount is not fixed in advance, it will be based on the applicable reservation terms or the actual documented amount incurred.
  • Limits & Third-Party Bookings: Providing a payment method does not authorize unrelated charges or change the confirmed rate, cancellation terms, refund terms, or other reservation-specific terms. For third-party reservations, amounts collected by the booking provider remain subject to that provider’s terms. This authorization applies only to amounts and authorizations handled directly by GSCL.

Cancellation & No-Show

  • Standard Cancellation: Cancel by 3:00 PM MT the day before arrival to avoid a charge of one night’s room and applicable taxes, unless different cancellation terms apply to your reservation.
  • Non-Refundable & Special Rates: Rates identified as non-refundable or subject to special cancellation or modification terms are governed by the terms provided at the time of booking.
  • No-Show: Guests who do not arrive on their scheduled arrival date and have not notified the hotel will be considered a no-show. A charge of one night’s room and applicable taxes will apply unless different terms apply to the reservation.
  • Third-Party Bookings: Reservations made through a third-party booking provider are subject to the terms provided with that reservation. Any changes, cancellations, or refund requests must be initiated through the original booking provider. GSCL cannot directly refund payments collected by a third party or provide receipts for amounts paid directly to that provider. If the booking provider contacts GSCL regarding a request, we will review it in accordance with the applicable reservation terms. Approval of any exception or refund is not guaranteed.

Refunds & Billing

  • Refunds: When a refund is due, it will be processed according to the applicable rate, booking terms, and payment arrangement. Amounts collected by GSCL are generally returned to the original form of payment. For amounts collected directly by a third-party booking provider, please contact that provider regarding the applicable refund. After a refund is processed, the time required for funds to become available is determined by the guest’s financial institution.
  • Exceptions: Requests for exceptions outside the applicable booking terms may be reviewed by GSCL management on a case-by-case basis. Approval is not guaranteed.
  • Billing Questions: If you believe a charge is incorrect, please contact GSCL promptly so we can review it with you.

Smoking & Marijuana

  • Smoking & Vaping: Smoking and vaping, including e-cigarettes, are prohibited in all guest rooms, hallways, and indoor common areas.
  • Designated Smoking Areas: Tobacco and nicotine smoking or vaping are permitted only in designated outdoor areas and must comply with posted restrictions and applicable law.
  • Cleaning Fee: A $250 cleaning fee may be charged for smoking or vaping in guest rooms, hallways, or indoor common areas.
  • Marijuana: Possession, use, consumption, smoking, vaping, or distribution of marijuana is prohibited anywhere on GSCL property, including designated smoking areas and all outdoor areas.

Pets & Service Animals

  • Pets: Pets are not permitted on GSCL property.
  • Service Animals: Service animals are welcome as required by applicable law.
  • Emotional Support & Therapy Animals: Emotional support, therapy, comfort, and companion animals that do not qualify as service animals under applicable law are not permitted unless otherwise required by law.
  • Service Animal Control: Service animals must remain under the handler’s control and be housebroken. When permitted by applicable law, a service animal may be required to leave the property if it is out of control and the handler does not take effective action, or if it is not housebroken.
  • Fees & Damage: No pet fee applies to a qualifying service animal. Guests remain financially responsible for actual damage caused by a service animal on the same basis as damage caused by guests or other occupants.

Room Occupancy

  • Maximum Occupancy: Each room has an established maximum occupancy. Guests and visitors may not exceed the room’s capacity.
  • Violations: Exceeding maximum occupancy may result in termination of the stay or removal from the property.
  • Sleeping Arrangements: Rollaway beds and cots are not available. All sleeping arrangements must comply with the room’s maximum occupancy and fire-safety limits.

Housekeeping & Room Access

  • Housekeeping: Daily housekeeping service is provided. Guests may decline routine service by notifying the front desk or using the “Do Not Disturb” sign.
  • Room Access: A Do Not Disturb request does not prevent GSCL from entering a guest room when reasonably necessary for an emergency, a safety or welfare concern, required maintenance, or investigation of a suspected material policy violation.

Quiet Hours, Visitors & Guest Conduct

  • Quiet Hours: Quiet hours are 10:00 PM to 7:00 AM. Excessive or disruptive noise is prohibited at all times.
  • Visitors: Registered guests are responsible for their visitors. Overnight visitors must be registered and may not cause the room’s maximum occupancy to be exceeded.
  • Conduct & Safety: Aggressive, violent, threatening, harassing, disruptive, or unsafe behavior is prohibited. Intoxication does not excuse behavior that disrupts or threatens the safety or comfort of others.
  • Alcohol & Illegal Drugs: Alcohol may be consumed in guest rooms by guests of legal drinking age. Public intoxication and alcohol-related disturbances are prohibited. Possession, use, or distribution of illegal drugs is prohibited. Marijuana is subject to the separate policy above.
  • Room Use: Guest rooms may not be used for unauthorized parties or events, unlawful activity, or commercial activity open to the public. Guests must provide accurate reservation information and comply with the terms of their reservation.
  • Health & Safety: GSCL may take appropriate action when a guest’s condition or conduct poses a direct threat to the health or safety of others that cannot reasonably be mitigated, consistent with applicable law.
  • Removal & Re-Entry: Material policy violations, unlawful activity, significant disturbances, safety threats, or refusal to follow reasonable hotel instructions may result in removal from the property. Guests removed from the property may remain responsible for applicable charges and may forfeit unused lodging amounts to the extent permitted by their booking terms and applicable law. Unauthorized re-entry is prohibited and may result in law enforcement being contacted.

Damage, Missing Property & Excessive Cleaning

Guests are financially responsible for damage, missing hotel property, excessive cleaning, or other property-related loss caused by the guest, registered occupants, or visitors during the stay.

Reasonable repair, replacement, cleaning, or remediation costs may be charged to an authorized payment method provided to GSCL during or after the stay, as permitted by the guest’s payment authorization and applicable law. Supporting information regarding charges may be provided upon request.

Billable incidents may include:

  • Damage or Missing Property: Damage to or removal of furniture, fixtures, appliances, linens, towels, décor, or other GSCL property beyond normal wear and tear.
  • Stains, Burns & Excessive Cleaning: Cleaning or remediation substantially beyond normal housekeeping requirements.
  • Outdoor Damage: Damage to landscaping, patios, outdoor furniture, or recreational amenities may result in repair or replacement charges.

Severe, intentional, or unlawful damage or theft may be referred to law enforcement or pursued through other lawful remedies.

Fire & Life Safety

  • Safety Equipment: Tampering with, disabling, covering, removing, or damaging smoke detectors, carbon monoxide detectors, fire alarms, sprinklers, extinguishers, emergency lighting, or other life-safety equipment is prohibited.
  • Open Flames: Candles, incense, fireworks, and other unauthorized open-flame devices are prohibited on GSCL property.
  • Emergency Access: Hallways, walkways, stairways, exits, and other emergency-access areas must remain clear.
  • Violations: Tampering with safety equipment or creating a fire or life-safety hazard may result in documented repair, replacement, cleaning, or remediation charges, termination of the stay, and involvement of emergency services or law enforcement. Applicable fines, penalties, or other consequences imposed by authorities may also apply.

Bicycles, E-Bikes & Similar Devices

  • Storage: Bicycles, e-bikes, e-scooters, hoverboards, and similar devices are not permitted in guest rooms, hallways, or indoor common areas. Designated bicycle storage is available; please contact the front desk.
  • Battery Charging: Charging e-bike, e-scooter, hoverboard, or similar lithium-ion batteries is prohibited in guest rooms, hallways, and indoor common areas. GSCL does not provide a designated charging facility for these devices.
  • Damaged Batteries: Damaged, swollen, leaking, unusually hot, or otherwise unsafe batteries or devices may not be charged or stored on GSCL property.
  • Accessibility: Powered mobility devices used by guests with disabilities will be accommodated as required by applicable law.

Portable Cooking Devices

Portable cooking devices—including hot plates, electric burners, portable grills, and similar appliances—are prohibited in guest rooms, hallways, and indoor common areas due to fire and safety risks.

Cooking appliances provided by GSCL as part of a guest room, suite, kitchenette, or kitchen may be used as intended.

Pool, Hot Tub & Sauna

  • Facility Rules: Guests must follow all posted rules, operating hours, capacity limits, and staff instructions for the pool, hot tub, sauna, and surrounding recreational areas.
  • Supervision: No lifeguard is on duty. Minors must be supervised as required by posted facility rules.
  • Glass Containers: Glass containers are prohibited in pool, hot tub, sauna, and surrounding recreational areas.
  • Safe Use: Running, unauthorized diving, horseplay, disruptive conduct, and other unsafe activity are prohibited.
  • Availability: GSCL may temporarily restrict or close recreational amenities for maintenance, weather, safety, capacity, sanitation, or operational reasons.

Parking

  • Guest Parking: Complimentary parking for standard passenger vehicles is available for registered guests.
  • Oversized Vehicles: Parking for oversized vehicles is subject to availability and may be subject to an additional parking fee. Please contact the front desk for availability and the current fee.
  • Vehicle Responsibility: Guests are responsible for securing their vehicles and belongings. GSCL is not responsible for theft, damage, or loss involving vehicles or their contents except as required by law.
  • Security Cameras: Security cameras may be in use in parking and exterior areas. Camera coverage or monitoring does not guarantee against theft, loss, or damage.

Lost & Found

  • Lost Items: Please contact the front desk promptly if you believe you left an item behind. While we will do our best to assist, GSCL cannot guarantee that lost items will be recovered.
  • Storage: Lost items are generally held for 30 days. Unclaimed items may be disposed of after that period, subject to applicable law. Perishable, hazardous, unsanitary, or otherwise unsafe items may be disposed of immediately.
  • Return Shipping: Shipping, handling, packaging, and related return costs are the guest’s responsibility.

Reservation Terms & Property Policies

  • Reservation-Specific Terms: Reservation-specific terms provided and accepted at the time of booking, as later modified by mutual agreement, govern the applicable rate, payment requirements, cancellation and modification terms, and refund conditions. If those terms differ from a general provision of these policies regarding the same reservation matter, the reservation-specific terms will control.
  • Property Policies: GSCL property policies concerning guest conduct, safety, occupancy, smoking, room use, damage, amenities, and use of the property apply to guests, occupants, and visitors regardless of the booking channel used, subject to applicable law.
  • Guest Responsibility: The registered guest is responsible for ensuring that all occupants and visitors associated with the reservation comply with applicable GSCL property policies and reasonable hotel instructions during the stay.
  • Operational Rules: GSCL may establish or modify reasonable operational property rules when necessary for safety, security, legal, regulatory, maintenance, or operational reasons, subject to applicable law. Such changes will not retroactively alter a confirmed room rate, cancellation or refund terms, impose new mandatory charges on an existing reservation, or otherwise materially change the commercial terms of the reservation except as required by law or agreed to by the guest.
  • Policy Violations: Failure to comply with applicable reservation terms or property policies may result in applicable charges or fees that are properly disclosed and permitted by law. Material violations may also result in termination of the stay, removal from the property, refusal of future reservations or stays, or referral to appropriate authorities when warranted, subject to applicable law.
